Data Retention

This page describes how long MicroHub actually keeps different kinds of records today. We do not state exact retention periods where no automatic policy exists — records may be retained for operational, support, historical, security, or business purposes as described below.
Active operational data
Account, role, and in-progress sales/service/production records are kept for as long as they remain operationally relevant.
Historical business records
Completed sales cycles, service history, production records, and licensing records are kept as ongoing business history — the same way paper business records would be kept — even after a project, ticket, or customer relationship is closed. We do not currently apply an automatic deletion schedule to these records.
Files
Uploaded files (purchase orders, service attachments, software, configuration files, Feature Request attachments) are retained with the record they belong to. Some surfaces support deleting a specific file or version (for example, a superseded purchase-order upload); where that exists, deleting the specific record removes that file. Deletion is not automatic.
Email delivery history
We keep a record of transactional email sends (sender, recipient, subject, delivery status, and provider message ID) to troubleshoot delivery issues and to avoid re-sending to addresses that have hard-bounced or complained. This history is retained; it is not automatically purged.
Audit and security logs
Sign-in attempts (success/failure, IP address, user-agent) and security events (e.g. rate limiting, blocked access) are retained to support internal security review.
Account deletion
An administrator can remove a user's sign-in account. Doing so removes that person's ability to log in; it does not delete historical business records that reference actions taken under that account, which are kept for operational, accounting, or audit purposes.
